How do I enter the availabilities of instructors?

Secretariats can assist with entering availabilities. You can enter in MOSES the time availabilities for all instructors of your study program.

There are three options to choose from when it comes to time availability:

  • Preferred “Bevorzugt”
  • Possible “Möglich”
  • Not possible “Nicht möglich”

  • When calculating the timetable, appointments that have been specified as Preferred are given higher priority.
  • If this is not possible, dates that have been marked as Possible will be used.
  • Basically, events are prevented from being placed in time periods that have been specified as Not Possible.

To do this, proceed as follows:

  1. Prerequisite: You are in MOSES in the menu item event planning.
  2. Click Settings and General Settings in the left menu column.

  3. Select the desired semester and click on Availability Entry “Verfügbarkeiteneingabe”.

  4. For Grid for availability “Raster für die Verfügbarkeiteneingabe” input, select the Hourly availability Stündliches Verfügbarkeitsraster” grid setting.

  5. Click Save.

To enter instructor availabilities, proceed as follows:

  1. Prerequisite: You are in MOSES in the menu item event planning.
  2. Click on Lecturers “Dozierende” and Availabilities “Verfügbarkeiten” in the left menu column.

  3. Select the desired semester “Semester” and the desired lecturer “Dozent*in”.

  4. The calendar of a “prototypical week (default)” is opened. In the default setting, all time periods are entered as Possible.
  5. To enter availabilities for full days, click on the individual availability icons next to the desired day of the week.

  6. To enter availabilities for individual periods, click on the box of the desired period.

  7. Important to know:

    • by clicking on the box, the period is entered as Not possible,
    • with another click on the box the period will be entered as Preferred,
    • with another click on the box the period is entered as Possible

       

  8. If there are deviations from the “prototypical week (default)” click Edit individual weeks “Einzelne Woche bearbeiten” below the calendar.

  9. All semester weeks are displayed in a list.

  10. Click on the pencil icon in the desired week to enter the deviation.

  11. A calendar with the “prototypical week (default)” opens. Enter your changes and click Apply “Übernehmen”.

  12. The list of semester weeks shows that there is a deviation.

  13. Click
    1. Save, if the input of the availabilities is possibly still changed resp.
    2. Save and confirm when the entry of availabilities is fixed. Confirm the message Confirm plan with OK.

  14. If there are changes to your time preferences during the semester, you can also unconfirm and make adjustments.
  15. To do this, click Undo confirmation “Bestätigung zurücknehmen”.

     

  16. Confirm the message Withdraw confirmation “Bestätigung zurückziehen” with OK.
